What Information We Collect

You can access our home page and browse our website without disclosing your personal data. We will not share your data with anyone else without your express permission.

This site uses cookies (a string of information that a website stores on a visitor’s computer) to store your preferences and provide anonymised tracking data to third party applications like Google Analytics. As a rule, cookies will make your browsing experience better. However, you may prefer to disable cookies on this site. We do automatically log a user’s IP address and session information such as the duration of the visit and the type of browser used. This is only used for system administration and to evaluate our use of the site.

Why and How We Collect Data

We collect personal data (e.g., email addresses or phone numbers) that you may give us when you are enquiring about our courses or making bookings. This data is seen only by people working at Jill Carter Training and is retained and stored confidentially on an external hard drive in a locked cupboard and locally on password-protected computers only for as long as necessary to deal with your enquiry or whilst you are on our courses.

We use JotForm for online booking forms. You can find their privacy notice here https://jotform.com/privacy.

The forms are sent to the facilitators using We Transfer to use on training days and are permanently deleted when your training with us ends. You can read We Transfer’s privacy policy here https://wetransfer.com/legal/manage-cookies.

Our computers are backed up to an external hard drive and have appropriate anti-virus software. Your phone number may be stored in the mobile phone of the trainer whilst you are on our courses to be able to contact you if you are late/lost. It is removed after you finish your training with us.

We will ask your permission to register you for our newsletter, any marketing emails from us and for feedback forms.

Confidentiality / Security

We make every effort to ensure your personal information is secure and confidentiality is respected. We will not send sensitive data on email (which is not encrypted) but will, when possible, arrange a time to talk to you on the phone instead. What about exchanges between the teachers/supervisors and students from personal email addresses? Should conversations come via us?

Confidentiality During the Trainings

We will not disclose any of the process that takes place during the training or in exchanges with us to either an employer (even if they are paying for you to attend) or to a supervisor. Everything that happens in a training session remains confidential to the group and the trainer. All drawings and pictures of sand trays (both your own and belonging to any clients discussed in the trainings) remain confidential and will be destroyed after being used.   All client material will be anonymised. We keep no notes of the content and process during training sessions. If you are on an online course via Zoom, we will record, with your permission, the teaching parts of the course only. No process during any weekend is recorded.

The taught part of the weekends will be sent to the group of students via We Transfer and deleted from Zoom Cloud when the training course has finished. We will report any breach of Personal Data and do so as fast as we can; we aim to let people know within 24 hours.

Access to your personal data

You can ask us whether we are keeping personal data about you by sending an email to hello@jillcartertraining.co.uk or ringing 07311 389613.

We will provide you with a readable copy of the personal data we keep about you within 30 days at a charge of £12. You can challenge the data we hold about you and, where appropriate, you may have the data erased, rectified or amended. We reserve the right to refuse to provide a copy of your personal data because of the need to keep material for our own insurance purposes, in line with the BACP GDPR 2018 Guidelines.

Complaints

We would like you to have a nourishing experience with us, but if you have a concern, please raise it first of all with the trainer concerned. If you are not happy after that, the Director of Jill Carter Training, Jill Carter is the person to speak to. We would appreciate any complaints being made in writing and will aim to respond as soon as possible. If you want to take things further, all our trainers are registered with the BACP or UKCP.
